Case Study: Simplifying Manual Payroll

Recently, a client came to us with a complicated weekly payroll built entirely in Excel. It was time-consuming, open to manual errors, and incredibly hard to hand over if someone went on leave.


Understanding the Process First
 

Rather than ripping the band-aid off blindly and rushing straight into a new system, our team processed their payroll "as-is" to fully understand the existing workflow and identify exactly where the challenges were occurring.

From there, we recommended testing Deputy — a payroll software solution with automated award interpretation — to reduce operational complexity. 

During the testing phase, we recreated the client’s weekly payrolls in the new system and cross-checked them against the manual calculations to ensure total accuracy. While doing this, we actually identified gaps in their old manual interpretation that had previously gone unnoticed.


The Outcome
 

The results highlighted the real value of automation:

  • Payroll variances between the manual and automated methods were negligible, confirming the integrity of employee pay.
     
  • Automated award interpretation removed much of the manual complexity and reduced the risk of payroll errors.
     
  • Payroll processing time was cut in half.
     
  • The reduced manual handling lowered the ongoing management costs for our team and savings we were able to pass directly onto the client.
     
  • The process became highly transferable and systemised, lowering operational risk and the reliance on a single team member.
